THE DPA & GDPR MAY 2018

We, and this website, comply to the DPA (Data Protection Act 1998) and already comply to the GDPR (General Data Protection Regulation) which came into effect from May 2018.

 

COMPLIANCE

We will:

-             Only collect information that we need for a specific purpose;

-             Keep it secure;

-             Ensure it is relevant and up to date;

-             Only hold as much as we need, and only for as long as we need it; and

-             Allow the subject of the information to see it on request.

It is important to note that Colmore Tailors Ltd does not share, sell or communicate any customer information with any other organisation, third party or any non-employee of the company, unless required to complete your services.   For example, sharing your name when ordering your fabric to ensure it is allocated to your order upon arrival.

Colmore Tailors Ltd only uses data in the following ways:

  1. To update you on your order.

  2. To send a birthday or special event card.

  3. To send a newsletter to those customers that have actively opted in to receive it

  4. To reply to reviews and articles, although never including an address, telephone number or email. Replying to a review does not fall within the remit of the GDPR as the “reviewer has actively and publicly taken the initiative to engage in a public domain and it is therefore reasonable for the subject of the review to continue that engagement.”

  5. To track and follow up on your enquiry.

  6. To provide information required to complete your order, i.e invoices and payment receipts.

Data is not used in any other way and therefore we consider this to be the minimal and fair use of customer information.

 

REMOVAL OF CONSENT

Withdrawing consent can be done at any time and with immediate effect by emailing enquiries@colmoretailors.co.uk -    Please note that withdrawing certain information may mean we are no longer able to fulfil your order.

 

HOW IS YOUR DATA STORED

All websites and storage systems are fully secured with access only granted to Colmore Tailors Ltd employees.   From time to time access may be granted to an external company or Party working on behalf of Colmore Tailors (for example our web developers may access Squarespace in order to build a new webpage).    Any access will be restricted to its least workable amount, and any private information will not leave Colmore Tailors, nor will it be stored by any third party after its use.

MAILING LIST & MARKETING MESSAGES

Where we have clearly stated and made you aware of the fact, and where you have given your express permission, we may use your details to send you products/services information through a mailing list system.    This is done in accordance with the regulations named in 'The policy' above.   We will give you the option to “opt-in” to such mailings, and always the options to “opt-out” if you so wish.

We operate an email mailing list program, used to inform subscribers about products, services and/or news we supply/publish.   Users can subscribe through an online automated process where they have given their explicit permission.   Subscriber personal details are collected, processed, managed and stored in accordance with the regulations named in the above policy.    Subscribers can unsubscribe at any time through an automated online service, or if not available, other means as detailed in the footer of sent marketing messages (or unsubscribe from all Mailchimp lists).    The type and content of marketing messages subscribers receive, and if it may contain third party content, is clearly outlined at the point of subscription.

Email marketing messages may contain tracking beacons / tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages.   Where used, such marketing messages may record a range of subscriber data relating to engagement, geographic, demographics and already stored subscriber data.

Our EMS (email marketing service) provider is MailChimp and you can read their privacy policy in the resources section.

As per the GDPR data transferred outside of the EU must meet certain conditions. MailChimp stores data in the U.S. and is certified by the Privacy Shield framework in order to legally transfer personal data under the GDPR.   See Section 16 of their privacy policy below for more information on this.

We adopt a Social Media Policy to ensure our business and our staff conduct themselves accordingly online.   While we may have official profiles on social media platforms users are advised to verify authenticity of such profiles before engaging with, or sharing information with such profiles.   We will never ask for user passwords or personal details on social media platforms. Users are advised to conduct themselves appropriately when engaging with us on social media.

There may be instances where our website features social sharing buttons, which help share web content directly from web pages to the respective social media platforms.
